1. Who we are

DairyCore ("we", "us") provides dairy farm management software and cooperative management software in Kenya, through our website at dairycore.co.ke and our Android app. [Insert registered company name, registration number and postal address.] Questions about privacy: support@dairycore.co.ke.

2. What information we collect

• Account details: your name, email address, mobile phone number and password (stored only in scrambled form). Your phone number is confirmed with a one-time code sent by SMS.
• Farm records you enter: animals, breeding, health and treatment records, milk yields, feed, finances, sales and employees you add.
• Cooperative records: if you belong to a cooperative that uses DairyCore, the cooperative records your member number, national ID number, milk deliveries, deductions, loans, payout phone numbers and payments. The cooperative decides what it records; DairyCore stores it on the cooperative's behalf.
• Payments: M-Pesa phone numbers and transaction references for subscription payments and cooperative payouts. We do not see or store your M-Pesa PIN.
• Location (optional): only if you tap "Use my location" on a form, such as the cooperative demo request. We do not track your location in the background.
• Photos you upload (for example animal or profile photos) and files you attach.
• Technical data: IP address, device and browser type, and sign-in and activity records kept for security and audit.

3. How we use it

• To provide the service: keep your records, send you reminders and alerts, calculate yields, statements and payouts.
• To keep accounts secure: confirm your phone number, detect misuse, keep an audit trail.
• To bill subscriptions and add-ons, and to send service messages by SMS or email (receipts, renewals, security codes).
• To connect farmers with vets and cooperatives when you ask us to.
• To improve DairyCore, using combined statistics that do not identify you.

We do not sell your personal information and we do not show advertising.

4. Who we share it with

• Your cooperative, vets and employees: only the records relevant to the relationship you have with them. A farmer's deliveries and loans are visible to the cooperative they deliver to.
• Service providers who process data for us: SMS delivery (HostPinnacle), M-Pesa payments (Safaricom Daraja), email delivery, and our hosting provider. They may use the data only to provide their service to us.
• Authorities where the law requires it, for example tax (eTIMS) or a court order.

5. How long we keep it

We keep your account and records while your account is active. If you ask us to delete your account we delete or anonymise your personal data within 30 days, except records the law requires us to keep (for example invoices, payments and cooperative ledgers), which we retain for the required period and then delete.

6. Your rights

Under the Kenya Data Protection Act, 2019 you may ask to see, correct or delete the personal data we hold about you, object to certain uses, and complain to the Office of the Data Protection Commissioner. To delete your account, use the account deletion page. For anything else, write to support@dairycore.co.ke.

7. Security

Data is sent over encrypted connections. Passwords are stored in scrambled form, sensitive payment details are encrypted, access inside a cooperative is limited by role, and important actions are logged. No system is perfectly secure; tell us at once if you think your account has been misused.

8. Children

DairyCore is for adults running farms and cooperatives. It is not directed at children under 18.

9. Android app

The DairyCore Android app displays dairycore.co.ke inside the app and collects no more data than the website does. It does not read your contacts, messages or files unless you choose to attach a photo or file.

10. Changes to this policy

If we change this policy in a way that matters, we will tell you in the app or by SMS or email. The date above shows the latest version.
